Artificial Intelligence (AI)
The purpose of this policy is to provide guidelines for the responsible and ethical use of Artificial Intelligence (AI) technologies by students and staff at Easy HR.
AI tools and technologies can enhance academic and operational activities, but they must be used in a manner that upholds academic integrity, respects privacy, and aligns with institutional values. This policy applies to all students, staff, and any other individuals or entities using AI technologies in connection with their activities at Easy HR
Definitions
- Artificial Intelligence (AI): Refers to any technology or system capable of performing tasks that typically require human intelligence, such as learning, problem-solving, and decision-making.
- AI Tools: Includes, but are not limited to, machine learning models, natural language processing systems, and AI-driven applications and software, for example ChatGPT.
Acceptable Use

AI tools may be used to support academic work, such as research or coursework, as long as their use adheres to principles of academic integrity. This includes properly citing all AI-generated content and ensuring that any work submitted is primarily the result of the student's own academic efforts.

Prohibited Use

Academic Dishonesty: Using AI tools to plagiarise or cheat on assignments, exams, or any other academic work is strictly prohibited. This includes using AI to generate content that is presented as one’s own work without appropriate attribution. All use of AI must be referenced as a footer at the bottom of your answer.

Resources Used: Students should be able to present evidence of their research processes upon request from educators or administrators. All 3rd party sources (including AI) should be cited at the bottom of your answer.
Responsibilities

Users: All individuals using AI tools are responsible for ensuring their use is compliant with this policy. We strongly encourage students to document their AI use and be able to provide evidence of the processes they followed if and when needed. This may include taking screenshots of iterations of collaborative development of assessment components using AI.
Compliance and Enforcement
- Review: Easy HR Assessors may use 3rd party tool to identify the use of AI. If these tools identify the use of AI, Easy HR may consider this a violation of the acceptable use of AI policy. To avoid any suggestion of academic misconduct, all third party resources used should be documented at the bottom of each question.

Violations: Violations of this policy may result in disciplinary action, including but not limited to academic penalties, or other sanctions as determined by the college’s standard procedures. Sanctions may include but are not limited to: delays in remarking, or termination of study for multiple or ongoing breaches. Refunds are not provided for terminations due to academic misconduct.
Review and Revision
- This policy will be reviewed and updated as necessary to reflect new developments in AI technology and institutional priorities.
